Updates on how to send effective reminders and follow-ups with Workflows, tips on writing qualifying questions using Routing, and more.
Keep Everyone in the Loop Including Non-Attendees
Did you know that Calendly Workflows reminders and follow-up notifications are one of our most popular features for both individuals and teams? Makes sense: Everyone wants to reduce no-shows to meetings, as well as move their relationships along by sending helpful materials (e.g., a customer story, a job description) after a meeting.
Before, you could send automated emails to only meeting invitees and hosts (say, a recruiter and a job applicant). Now, you can also keep other people in the loop on meeting updates by using Workflows to email non-attendees (e.g., the hiring manager who isn’t attending a recruiter screening call).
Try using the new “someone else” recipient option to automatically notify a teammate, manager, or other stakeholder about your meeting. The best part? Workflows are fully customizable, so you can provide context and instructions to make the email actionable so non-attendees know how and when to support your meetings.

Tip of the Day: Question Your Routing Questions
If you have used Routing Forms, you know the magic of asking qualifying questions to screen clients, recruits, and others before they can schedule with you.
To get the best completion rates on these forms, try keeping routing form questions to a minimum. Ask yourself, "What information do I need to contact this person again in case they don’t book a meeting?" and "What information do I need to ask in order to screen and/or send this person to the best person on my team?”
For example, let’s say you work for an insurance company. You might include a single question that asks for the client’s email address (in case they don’t book a meeting) and a second question about whether they are interested in home, life, or auto insurance. That way, you can create a good customer experience (i.e., a short form) while also gaining as much important information as possible (e.g., their email address, what they’re looking for).
